Please read these terms carefully before making a booking or travelling with us. They explain how Aeropod Tours handles bookings, payments, cancellations, itinerary changes, refunds, travel requirements, and traveller responsibilities.
Booking Information
This page outlines the main terms that apply when booking and travelling with Aeropod Tours, including payment schedules, cancellations, supplier conditions, and practical travel responsibilities.

Payment can be made by credit card or bank transfer.

A 25% deposit is required to confirm your booking.
The remaining 75% must be paid 45 days before the start of the tour.
For bookings made within 30 days of the tour date, full payment (100%) is required at the time of booking.
Bookings made under promotional rates also require full payment upfront.
All cancellation requests must be submitted to Aeropod Tours in writing.
A 25% cancellation fee applies for notification made 60 days or more before arrival, plus any cancellation charges imposed by third-party suppliers or other service providers.
A 50% cancellation fee applies for notification made 30 to 59 days before arrival, plus any cancellation charges imposed by third-party suppliers or other service providers.
A 100% cancellation fee applies for notification made 29 days or less before arrival.
Aeropod Tours shall not be held liable for any consequences arising from flight delays or cancellations.
While we will make every reasonable effort to assist clients and rearrange tour arrangements whenever possible, we are not obligated to provide any financial compensation in such circumstances.
Any additional costs incurred as a result of flight delays or cancellations will be the responsibility of the client.
Aeropod Tours reserves the right to cancel all or part of a tour in situations beyond our control.
Such circumstances may include hazardous conditions that could affect the safety of our clients, such as severe weather, unsafe road conditions, disease outbreaks, river accessibility issues, or other force majeure events.
In such cases, clients will have the option to reschedule the tour to another available date.
As an alternative, clients may request a refund. The refund amount will be determined after deducting any third-party charges, administrative fees, and other applicable costs from the tour price.
We reserve the right to remove or terminate a client from a tour if their behavior is deemed disruptive, unreasonable, or poses a risk to the safety of others. Should this occur, no refund or compensation will be granted.
Aeropod Tours shall not be held liable for, nor obliged to provide compensation, in cases where the performance of our contractual obligations is affected or prevented due to a force majeure event.
For the purposes of these terms and conditions, force majeure refers to any event that we, or the relevant service provider, could not reasonably foresee or prevent, even with due care and diligence.
Such events include, but are not limited to: war or threat of war, epidemics or pandemics, riots, civil unrest, airport closures, acts of terrorism, industrial disputes, natural disasters, nuclear incidents, adverse weather conditions, government actions, fires, floods, or any other circumstances beyond our reasonable control.
All tours and services are conducted on a shared (non-private) basis and include an English-speaking guide by default.
Private tours and guides speaking other languages can be arranged at an additional cost.
Aeropod Tours reserves the right to modify the timing and sequence of the itinerary, when necessary, due to unforeseen circumstances.
No refunds will be provided if you choose not to participate in any activity or service included in your tour.
Similarly, no refunds will be given for services or activities that are missed or remain unused due to circumstances beyond the control of Aeropod Tours, including personal decisions, delays, or changes in your schedule.
We encourage all participants to plan accordingly and communicate with your tour guide if you are unable to take part in any activity.
In the event where a refund is involved, it will be credited back to you using the same payment method.
This may take up to 90 to 120 working days to process.
All refunds are subject to the refund policies of each supplier. Some suppliers may apply a non-refundable policy.
Aeropod Tours shall not be held liable for any personal injury, property damage, loss, or additional expenses resulting from events beyond our reasonable control.
This includes, but is not limited to, accidents, natural disasters, adverse weather, transportation delays, civil unrest, or any other unforeseen circumstances.
Each individual is responsible for their personal safety, belongings, and well-being throughout the tour.
Aeropod Tours, its employees, agents, and service providers shall not be responsible for any direct, indirect, or consequential losses, damages, or costs arising from participation in any tour, including those caused by third-party service providers.
It is the client's sole responsibility to ensure proper travel documents.
All passports and visas must be valid at least six (6) months from departure from the last country.

Please note that, effective 1 September 2017, hotels in Malaysia charge a Tourism Tax of RM 10 per room per night for foreign guests.
This tax is collected directly by the hotel at check-out and is not included in our tour prices.
Aeropod Tours is not permitted to pay this tax on your behalf.
We strongly recommend that all members of your travel party obtain comprehensive travel insurance covering the full duration of the tour.
The policy should include, at a minimum, protection for personal accidents, medical emergencies and evacuation, accidental death, loss or damage to baggage, trip or flight cancellations, and coverage for personal belongings or effects.
Aeropod Tours will not be held responsible for any losses, medical costs, or other expenses that could have been covered by such insurance.
It is the responsibility of each traveller to ensure that their policy provides adequate coverage for their individual needs and the activities included in the itinerary.
Some activities on our tours may involve a certain level of personal risk due to the natural and geographical environment.
Activities such as jungle trekking, wildlife watching, mountain climbing, cycling, kayaking, swimming, and boat travel carry a risk of injury or, in rare cases, life-threatening situations.
Our tour guides and staff will provide instructions and safety briefings before and during these activities.
It is important that you follow these instructions carefully to help minimize risks.
By booking with us, you acknowledge and accept the risks involved in these activities.
If you feel uncomfortable or prefer not to participate in any activity, please inform your tour guide.
During tours, we may occasionally take photographs and videos of clients for marketing and promotional purposes.
By participating in our tours, you consent to the use of these images and videos on our website and social media platforms.
Such use will be royalty-free, perpetual, and irrevocable.
Please inform your tour guide as soon as possible if you have complaints about your tour so he or she can resolve the issue quickly.
Alternatively, you may submit your complaint in writing within 10 days after the completion of your tour.
